Job Responsibilities:
- Assist in running day-to-day operations in the center
- Assist in scheduling the therapists with their students
- Assist in making adjustments to schedule when needed
- Assist in arrival and departure routines of the students
- Maintain records and monitor attendance of staff and students
- Assist in running regular and special events in the center
- Answer and direct phone calls
- Organize and schedule appointments
- Plot meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, and forms
- Assist in the preparation of regularly scheduled reports, billings, and invoices
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Maintain company contact lists
- Book travel arrangements and arrange logistics for staff and visitors
- Provide general support to visitors
- Act as the point of contact for clients
- Liaise with Clinical Director and fellow admin personnel to handle requests and queries from the staff
- Manage regular postings to company’s social media accounts
- Perform ad hoc tasks (e.g., printing reports, materials, checking supplies, etc.).
Requirements:
- College degree holder
- Proven experience as an Administrative Assistant or as a Secretary
- Fluent in speaking, reading, and writing in English and Bahasa languages
- Excellent written and verbal communication skills
- Proficiency in MS Office (MS Word, MS Excel, and MS PowerPoint)
- Excellent time management skills and the ability to prioritize work
- Keen attention to details and excellent problem-solving skills
- Knowledge of office management systems and procedures
- Working knowledge of office equipment like printers, etc.
- Strong organizational skills with the ability to multi-task
