The Assistant to the Managing Director plays a pivotal role in providing comprehensive administrative and executive support to the Managing Director. This position requires exceptional organizational skills, strong communication abilities, and the capability to handle a wide range of tasks efficiently. The successful candidate will be a key liaison between the Managing Director and various internal and external stakeholders, contributing to the smooth operation of the organization.
Responsibilities:
- Provide high-level administrative support to the Managing Director, including managing calendars, scheduling meetings, arranging travel itineraries, and handling correspondence.
- Act as the primary point of contact for internal and external communications addressed to the Managing Director, ensuring timely responses and appropriate prioritization.
- Prepare and edit reports, presentations, and other documents on behalf of the Managing Director, ensuring accuracy and professionalism.
- Assist in coordinating special projects and initiatives led by the Managing Director, collaborating with cross-functional teams to ensure project milestones are met.
- Maintain confidentiality and integrity of sensitive information, documents, and files related to the Managing Director's office.
- Coordinate and facilitate meetings attended by the Managing Director, including agenda preparation, minute-taking, and follow-up on action items.
- Build and maintain effective relationships with internal teams, external partners, and clients on behalf of the Managing Director, representing the organization professionally.
Requirements:
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Proviciency in English is a must, Mandarin speaker is preferable
- Proven experience (6 years) in an executive assistant or administrative support role, preferably supporting C-suite executives or senior management for Manufacture company.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with a high level of professionalism and diplomacy in interactions with stakeholders at all levels.
- Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Experience with calendar management and virtual meeting platforms is desirable.
- Demonstrated ability to handle confidential information with discretion and maintain a high level of confidentiality.
- Strong analytical and problem-solving skills, with the capacity to anticipate needs and proactively address issues.
