Assistant Brokerage Manager

Job Summary

The Assistant Brokerage Manager’s missions are to develop operational goals and plans, influence and dominate operations performance to meet customer deadlines, and build a close and productive relationship with customers and governmental agencies.

He / She is responsible for leading the department financial performance, directing workloads and regulating standard operation procedures (SOPs), governing compliance with regulatory requirements for UPS Operation, supporting Sales and Marketing to target customers.

This position is the subject matter expert for customs brokerage, champion for continual improvement and training needs of the department, team member with Sales, Marketing to increase market growth, manages supervisors within the department

Govern Brokerage Compliance and Quality Process

  • Identifies, observes, develops and implement operation’s quality, SOP and policies to guide, supervise and train the Brokerage team.
  • Serves as subject matter expert on key regulatory and compliance issues, engage department to review compliance and regulatory training, provides brokerage / compliance expertise to the customer to help develop solutions.
  • Ensures Customs regulations and requirements are abided and up to date, resolves customs problems and responses to Customs or parties are met timely.
  • Review reports / notices to evaluate performance against goals, communicate customs regulation changes and industry news, resolve all exceptions, and develop process improvements and corrective action plans to increase quality levels, avoid governmental fines and penalties and to minimize costs for shipment returns.
  • Set audit criteria based on operational needs, regulatory changes, and type of initiative and drive regular audits to assess compliance with regulations and UPS standards and review audit results with department to develop corrective action plans.
  • Provides cross-functional support on new business opportunities to ensure regulatory requirements are met.

Supervises Account Management Process

  • Serves as a liaison and maintains an open and regular relationship between the customer, the government, and third-party agencies to ensure adherence to regulatory guidelines.
  • Review key performance indicator results with customers to assist in identifying areas of improvement.
  • Conducts customer meetings and business reviews to assist customers in maintaining a leading business edge.
  • Maintains customers' profiles and standard operating procedures to ensure the brokerage team has customer requirements documented.

Participates in Industry Associations

  • Actively participates in industry associations to promote the brokerage industry.
  • Remains knowledgeable on key industry trends and new developments to determine strategic impact to UPS, communicate critical findings to senior management, and to serve effectively as a SME for implementations.
  • Attends seminars, training, conferences, and reads professional journals to maintain customs brokerage subject matter expertise.

Manages and Develops Others

  • Manages resources and people processes (e.g., Performance Management, Career Development, Training, Staffing, etc.) to ensure the day to day administration of processes and formal procedures.
  • Identifies individual and team skill gaps and developmental opportunities (e.g., training, special assignments, conferences, projects, etc.

to facilitate individual and team development.

  • Ensures that direct and indirect reports have documented career goals and detailed plans for achieving these goals to develop them personally and professionally.
  • Conducts frequent performance evaluations in a consistent, fair, and objective manner to facilitate open communication and encourage continuous performance improvement.
  • Holds others accountable to established performance levels to achieve individual and group goals.
  • Resolves individual and group performance issues in accordance with UPS’s policies and procedures in a timely manner to motivate and foster teamwork.
  • Coach's others and provides on-going feedback and support to improve performance.
  • Identifies opportunities to involve others in new and challenging work assignments and / or rotations that advance the skills and capabilities of individuals and the organization.
  • Makes salary recommendations to reward employee performance.
