Exhibition Coordinator | Ateneo Art Gallery  

Summary of Work Activities and Responsibilities:

Under the supervision of the Director/Chief Curator, the Exhibition Coordinator does the logistical coordination for all exhibitions curated by guest curators and matters related to the Ateneo Art Awards.

Main Duties and Responsibilities

I. For regular gallery exhibitions:

• Administration
  • Keeps track of the exhibition and event schedule of the Museum.
  • Prepares letters to artist participating in the exhibition/ collectors lending works for the exhibition.
  • Schedule and arranges the delivery of artworks to the Gallery or pick up from collectors’/artists’ homes and coordinates with the Museum Registrar for its pick up and return
• Coordination
  • Coordinates with the Exhibition Designer and the guest curator and/or artist to ensure that the designs are approved
  • Coordinates between curator/writer for catalogue essay
  • Coordinates between artist, collectors, curators and the Ateneo Art Gallery
• Documentation and Publication
  • Prepares exhibition reports, which shall include exhibition checklist and exhibition development report
  • Ensures that each piece in the exhibition has been photographed by gallery personnel for documentation purposes and photographed by a professional for catalogue publication purposes.
• Exhibition
  • Suggests new methods and techniques for preparing and presenting exhibitions.

II. For Ateneo Art Awards

• Nomination process and final deliberation, which shall include but not limited with the following groups:
  • Jurors
    • Follows up with invited Jurors
    • Coordinates travel and accommodations arrangements for the foreign juror
  • Artist, Gallerists, Collectors
    • Coordinates with the artists, gallerists and collectors for loan of artworks
  • Residency partners and recipients
    • Informs residency partners of the winners and following up on their selection
    • Coordinates between residency partners and residency recipients
• Coordination and Collaboration
  • Coordinates with project graphic artist and printers on the production of nomination forms, posters, invitations, catalogues, trophies, banners billboards, etc
  • Coordinates with video procedures for the AAA video production
  • Coordinates the set-up of the Ateneo Art Awards exhibition in Shangri-la Plaza Mall and at the Ateneo Art Gallery (public venue)
  • Responds to queries from the public
• Administration
  • Arranges the schedule of the final judging
  • Prepares the presentation to the jurors for the shortlisting
  • Prepares the forms for shortlisting and final judging
• Documentation and Publication
  • Recommends graphic designers and video producers
  • Writes press releases and prepares press kits
  • Prepares exhibition reports
• Exhibition
  • Oversees the exhibition logistics and installation (ingress and egress)
  • Coordinates loan requests with the Museum Registrar
  • Coordinates publicity and promotion matters with Marketing and Promotion Officer

Education and Experience Requirements:

• Degree in Fine Arts, Arts Management or Museum Studies
• Knowledge of the local art landscape
• At least 2 years work experience in museum, gallery or other art institution
