The key responsibilities include:
People Management
Develop and sustain a high-quality well motivated teamwork.
Ensure high staff morale, trust and work ethics
Build and maintain an environment that supports teamwork, co-operation and performance excellence within team
Mentor and enable Training & Development of team members
Client/Stakeholder Management
Proactively engage stakeholders to ensure that on site client’s expectations are met
Build and develop effective client / stakeholder relationships across multiple levels of the organization
On-site key point of contact for Facilities in the client’s premises
Site Operations Management
Set up standard operating procedures and ensure compliance with Facebook policies and procedures, including all government regulations
Plan and execution of moves/restack and ad-hoc projects
Recommend continuous quality improvement practices and implement Industry Best Practice operations
Review existing operations regularly to reduce costs and improve operational standards
Management of all faults and queries raised through the helpdesk.
Attend to all reactive maintenance / downtime/ breakdown according to agreed SLA and escalate as appropriate
Prepare downtime and breakdown incident reports and ensure prompt closure
Reporting of all facilities related activities at predetermined frequencies
Interfacing with the landlord on matters relating to the premises including fire evacuation training/drills
Procurement & Vendor Management
Manage all principal service contracts, including inspections and quality management of service delivery
Development and administration of maintenance planner, coordinate all maintenance activities and ensure all unscheduled maintenance is promptly actioned
Management of all facilities-related staff both JLL and vendors
Risk Management
Ensure the JLL Operational Risk Management (ORM) program is implemented and maintained.
Ensure disaster recovering and business continuity plans are implemented and maintained
Ensure escalation procedures and incident reporting procedures are implemented and maintained
Follow established escalation procedures and incident reporting procedures
Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
Assist in the development of guidelines and strategies to ensure compliance with Jones Lang LaSalle’s business conduct
Health & Safety Management
This role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with the requirements of the health and safety guidelines, policies and rules.
Ensure Fire Warden/First-Aid training and records are up to date and meeting Facebook policies and procedures, including all government regulations
Finance Management
Financial management including tracking of expenses
Actively work to ensure that the site’s financial operations are meeting or exceeding targets and control requirements including the Jones Lang LaSalle Code of Ethics
Ensure financial processes are followed at all times by working with the clients finance team.
Ensure all procurement processes are followed up and contracts are in place for all vendor services
All maintenance is conducted as scheduled
Reporting is accurate and delivered on time
All expenses are within budget limits
Customer satisfaction surveys trend upwards
Account contract surveys achieve minimum standards
Compliance with Facebook standards and audit requirements
