Position Overview
The Food & Beverage Coordinator position is an essential role towards achieving our vision of providing a dynamic culinary experience to all those wishing to enjoy our unique environment. The core of this essential position will be multi-dimensional to support the Food and Beverage Operations Manager and Executive Chef. Valued candidates must possess a highly organized skill set, creativity and an engaging personality with attractive inter-personal skills.
Essential Duties:
- Planning, organizing and maximizing Food & Beverage reservations while optimizing guest satisfactiona and revenue potential.
- Overseeing the daily administrative responsibilities within the Culinary division related to financial, Human Resources and guest arrangements.
- Assisting to plan, create and develop Food & Beverage promotions and seeing them through from concept to preparation to delivery.
- Facilitating inhouse requests for special dining such as picnics, floating breakfast, etc. Communicating with the Front Office, kitchen and F&B Service to ensure everything is prepared and ready.
- Responsible to prepare all event order sheets, and to ensure they are issued & distributed in a timely fashion. This would be needed for any dining requests out of the ordinary and for any group bookings being 5 people or more.
- To create and develop all menus for all outlets as requested by the the Culinary team. Menus should be kept up to date and filed in accordance to review.
- Coordinate with the Executive Chef to perform the HACCP inspections, complete the bi-monthly inspections, complete the necessary reporting and expedite the follow up to the concerned departments. Follow this based on the Executive Chef's requirement the Food & Beverage Coordinator will need to follow up with concerned departments for the status of their follow up.
- Prepare all materials such as proposals, contracts, and all typed inter departmental forms.
- For group proposals and confirmed groups it will be the requirement of the Food & Beverage Coordinator to expedite all group reservations and ensure the kitchen & service teams are familiar with the details and proper preparations are competed.
- The Food & Beverage Coordinator will plan strategy with the F&B Operations Manager and Executive Chef to promote Capella Ubud, Bali dining options with local destination management companies. The Food & Beverage Coordinator will work closely with the Sales Coordinator overseeing local DMCs to disseminate this information and arrange appointments. The Food & Beverage Coordinator will then join the appointments and develop a business relationship to promote Capella Ubud, Bali. On a monthly basis the Food & Beverage Coordinator will send personal follow ups with the destination management companies to further nurture future business.
- The Food & Beverage Coordinator will help support the leadership team with any preparations and presentations related to speaking engagements.

Education Required:
- Diploma of college or university completion and achievements of food and beverage / hotel management.
- Any courses relating to further knowledge to Food & Beverage and Sales & Marketing also preferred.
Desirable:
- Two years or more experience as event coordinator or banqueting. Food and beverage experience is essential.
- Familiar with Micros point of sales system.
- International F&B experience would be a benefit.
