You will help manage and maintain the facilities of a site / office (excluding manufacturing and IT-related areas) to ensure a conducive and comfortable work environment in accordance to health, safety, environment and security policy, guidelines and requirements.

How you will contribute

You will :

Coordinate and monitor the daily cleaning, maintenance and repairs for the site infrastructure (cafeteria, pantry, office area, internal mailing etc.

ensuring all vendor service levels are met and escalating and following up on any unresolved issues

  • Lead all aspects of facilities management including technical installations of energy, maintenance, development and optimal availability and safety of on-premise activities in compliance with all relevant legal requirements
  • Support the facilities requirements of all factory / office-related projects and investments related to the property and to some extent production
  • Ensure that the company's electrical safety policy is complied with and that power-intensive electricity works are carried out under current rules
  • Adhere to the budget and annual plan for the maintenance of the site / office and ensure timely vendor payments
  • Establish and follow-up on comprehensive and detailed environmental objectives for the plant and disseminate information about these including energy consumption, water consumption and different emissions

  • Previous experience in facilities management
  • In-depth knowledge of the utilities necessary for the smooth functioning of the site / office (air conditioning, electrical wiring, piping, electric power distribution, etc.)
  • Excellent understanding of current regulations in the fields of utilities and building management
  • Responsiveness, anticipates issues ahead, highly organized personality
  • Compliance with deadlines and costs
  • Budgeting and budget monitoring
  • Excellent use of IT (CMMS Coswin, SAP) and administrative tools

More about this role

What you need to know about this position :

1. Finance

  • Provide administrative support and assist Site team in budgeting and purchasing processes.
  • Monitor Facility’s budget process (Forecasting & Controlling).
  • Monitor CAPEX spending and able to collaborate with MIT and Global team.
  • Manage day to day purchase requisition, purchase order, cross charging and settlement in system on timely basis (Re : Master Shopper).
  • Register Vendor & Update Preferred Webform.
  • On time submission for taxation etc.

2. System Development

  • Work with cross function team to set up : Preventive maintenance and spare part control in SAP system.
  • Monitor Facility score card and tracker.
  • Provide monthly update / closing to site management.
  • Prepare annual accrual report.
  • Document ControllerEnsure availability of Technical Document and Approved Specification for site execution

3. Facility & Employee Support

  • Manage Asset & Facility (tagging, checking and disposal process).
  • Manage Office supply (i.e medicine, stationary - include pantry supply, etc) - estimate, order and monitor delivery / usage.
  • Support employee engagement activities (i.e. Townhall, Joyful Lunch, Fruits Day, Kids Day, Joylympics & GPTW, etc ).
  • Arrange Quarterly Free Product & Festive Parcel.
  • Prepare snack during Ramadhan (employee breakfasting).
  • Support visitors' visa process as per guidelines.
  • Ensure legal documents are renewed on time (i.e. wajib Lapor Ketenagakerja, Silwan, Perda, Domisili).
  • Manage travel booking for PCTC team (create PO, manage budget, liase with travel agent).
  • Generate attendance report as needed.

Education / Certifications :

Bachelors degree

Job specific requirements :

  • Previous experience tracking and stewarding budgets for a large team is highly preferred
  • MUST have a good standard of English for business communication. Will be reporting to a non-Indonesian manager
  • Attention to details.
  • Good team work and collaboration skill.
  • Knowledge of basic accounting, finance, computer software and SAP system.
