Position:
Project Document Controller
Description:
Key behavior:
- Supports the project department.
- Compiles, submits, receives, and stores hard copies and electronic copies of all technical and QC/NOE drawings, reports, procedures, and related information in an orderly manner, following policies and procedures.
- Allocates and controls the document numbering or file name system for the project work.
- Works with precision to ensure that all electronic and hard copy filing is accurate and easily retrievable.
- Responds promptly to requests to retrieve information, conduct information searches, and handle general requests for support from project/department personnel and clients.
- Distributes documents to relevant individuals internally and externally.
- Liaises with clients/suppliers/sub-suppliers when required.
- Oversees both internal and external documents.
- Administers the update of electronic/digital files through the EDMS system or alternative customer/sub-vendor document control systems.
- Manages compiling and submission for final reports (MRS or MOR).
- Accurately updates information as required.
- Files and controls QMS documentation for projects, such as MOC, CRM, RA, CP, etc.
- Sends project-specific meeting invitations internally or externally as requested by the Project Manager and files attendance or minutes of meetings as applicable.
- Files all project costing, extension letters, and variation orders appropriately in the document file server.
- Creates, organizes, and maintains the project-specific folder in the document file server.
Requirement:
- Minimum requirement of Bachelor's Degree or Diploma 3 graduation.
- Minimum of 2 years of previous experience in a similar role.
- Experience with other typical systems for documentation or information updates, such as SAPS, EPICOR, MS ACCESS, etc., would be preferred.
- Fluent in understanding organization-related tools and processes.
- Familiarity with or proficiency in using Microsoft Office (Word, Excel, Presentation) and Adobe Editor, as well as ERP Systems.
- Fluent in business English communication, both written and spoken.
