Uraian Tugas

A receptionist is the first point of contact for clients and visitors. Their role is pivotal in creating a welcoming, professional environment and supporting the day-to-day operations of the office. The job entails a mix of administrative tasks, customer service, and support to the real estate team.

Job Responsibilities:

  • Welcome clients and visitors to the office, ensuring they feel comfortable, directing them to the appropriate staff members, and managing waiting areas;
  • Handle incoming calls, emails, and mail, providing information, taking messages, or redirecting inquiries to the relevant department or staff member;
  • Keep the reception area tidy and well-organized, manage office supplies inventory, and liaise with vendors for office-related needs;
  • Provide basic and accurate information in-person and via phone/email;
  • Receive, sort, and distribute daily mail/deliveries;
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges);
  • Order front office supplies and keep an inventory of stock;
  • Perform other clerical receptionist duties such as filing, photocopying, and updating documents database;
  • Answer and distribute all incoming lead requests (partners, sellers, buyers, guests) to the appropriate department;
  • Monitor all lead funnels (Jivo chat, office phone number, office WhatsApp number, generic company email, etc.), reply to leads, collect details of the request, and pass them to the appropriate department;
  • Handling incoming leads from various channels (Jivo chat, official phone, official email), the receptionist responds promptly, collects lead details, and directs these inquiries to the relevant departments or personnel, ensuring a streamlined lead management process.
  • Monitor company generic email, promptly responding to inquiries or forwarding messages to the related departments or individuals within the organization.

Qualifications:

  • Previous experience in a front desk or customer service role is highly desirable, though entry-level positions may only require intern or volunteer experience.
  • Excellent verbal and written communication skills to effectively interact with clients, visitors, and staff.
  • A strong focus on providing superior customer service, with the ability to handle inquiries and concerns with tact and diplomacy.
  • Available to join immediately.
