Shipping Agency Operation Manager

Main Role of Position (Main Job Role):

The Ship Agency Operation Manager is the first point of contact for ships arrival into the port and liaises with port officials and terminal operators to plan effective husbandry works and/or cargo operations. He/She is responsible for the ship's interest when the ship is in port and to carry out any arrangements as required by the shipping lines, ship-owners and ship-masters. He/She has a strong understanding of port regulations, port health, terminal operations, Indonesian Customs and Immigration procedures of the port.
The Ship Agency Operation Manager oversees a team of operational and In office staff and local agents and he/she is directly accountable for their performance and results. He/She develops action plans for resource utilization and oversees the implementation of workflow improvements that may enhance customers' satisfaction, as well as optimize the use of the organization’s resources.
The Ship Agency Operation Manager also anticipates potential disruptions to work plans and revises them to ensure work is carried out effectively. He/She also possess strong interpersonal skills, establishes a strong relationship with the industry and takes steps to ensure customer needs are met.

Main Tasks:

• Analyse market data to identify business opportunities.
• Coordinate with port authority, terminal operators , local agencies, operations to ensure all regulatory requirements are complied with for ships calling into port.
• Liaise with shipowners, shipping lines/general agents and customers.
• Manage compliance with risk management frameworks, policies and processes.
• Manage issues arising from agency Operations.
• Monitor the targets achieved against Key Performance Indicators (KPIs).
• Assist in PDA’s calculations and oversee billings and make sure it is done in timely manner.
• Prepare presentations and analyse reports on ship agency activities.
• Adapt a system in vessel certification data control / updates.
• Set up budget / cost with suppliers – vendors with the approval of the top management
• Be mobile when required to support the operations.
• Be familiar with CIQP clearance, Crew visa matters, Vessels certifications in general and mainly PPKA, PKKA, change of flag.

Job Qualifications:

• Male, Maximum age 50 years old
• Education:minimum ANT II, Shipping Academy majoring Nautical or Port Management
• Experience:more than 5 years  in the fiel. 
• Have DPA certificate (preferred), ISM Code, Class vessel, OVIQ (Offshore Vessel Inspection Quotation) is a plus.
• Proficient in English both oral & written
• Proficient in Microsoft Office
• Possess good analytical thinking, proactive, leadership, and able to work collaboratively
• Good at making strategy and planning in preparing and realizing the company’s targets
• Have relative relation with class, harbormaster / agent, and government agencies are preferred
