Key responsibilities:
- Schedule & General HR Management: Oversees scheduling, attendance tracking, adjustments, replacements, and clear communication to address scheduling issues. Collaborates with HR to distribute resources, handling tasks such as new recruitments or exit preparations.
- Expense Management: Control and report expenses within the budget for optimal resource utilization while developing and enforcing guidelines for petty cash usage to ensure policy and accounting compliance.
- Travel Brief Management: Oversee and support timely completion of client booking requests and project readiness, handling field issues and escalating as needed until the client's return home.
- Business Process Implementation: Guarantee that all actions, including prompt customer responses via various channels, itinerary confirmations, record-keeping, quotation accuracy, and travel document management, strictly adhere to company business process guidelines and the SOP manual for compliance with clients and suppliers.
- Host Department Aligning Meetings: Prepare to support and assist the team in addressing weaker areas or aspects needing extra support while directing the team to prioritize urgent deadlines, resolve conflicts and issues, and establish new targets
- Policy & Compliance Enforcement: Set an example of fairness and consistency in disciplinary measures following company policies and legal guidelines related to attendance, behaviour, and low performance-related matters.
- Risk Management: Identify and escalate unforeseen risk issues while ensuring adherence to company guidelines on selling margins, refunds, cancellations, compliance procedures, and budgets across all travel teams in different departments.
- Documentation & Investigation: Conduct thorough investigations into employee issues, gathering information and documenting findings while maintaining accurate records of disciplinary actions and related conversations reporting to the group Human Capital.
- Travel Traffic Management: Manage supplier issues by finding substitutes, ensuring efficient booking procedures, maintaining travel brief quality, and distributing workloads to meet company objectives for travel requests.
- Non-Travel Project Management: Supervise and implement plans for non-travel projects, ensuring timely delivery and resource allocation and addressing timeline bottlenecks for various initiatives like sales, marketing, procurement, HR, training, and general affairs.
- Performance Review & KPIs Setting: Conduct regular performance reviews for team members to assess individual contributions and track KPIs aligned with company goals
- Margin & Profit Controls: Responsible for company margin control and meeting profit targets, escalating low-margin issues to headquarters for guidance and resolution.
- Financial Forecasting on Projects: Conduct financial forecasting for the business unit, projecting revenues, expenses, and expected financial outcomes, and appropriately allocate financial resources to different projects or areas based on strategic goals.

Requirements
- Minimum bachelor's degree or above.
- More than 3 years experience managerial role preferable in the tourism or hospitality industry
- Experience in preparing management report
- Track record in leading people
- Ability to work flexible hours

- Knowledge of different cultures and customs
- A meticulous eye for detail
- Strong verbal and written communication skills
- Analytical Skills: Proficient in fast-paced chronological analysis.
