• Generating and processing purchase orders accurately and efficiently, ensuring alignment with budgetary constraints and procurement policies.
• Communicating with vendors to obtain quotes, negotiate prices, terms, and delivery schedules. Maintaining positive vendor relationships while ensuring compliance with contractual agreements.
• Researching and identifying potential suppliers, evaluating their capabilities, prices, and quality of goods or services.
• Monitoring inventory levels and ensuring adequate stock levels to meet demand. Coordinating with inventory managers to replenish stock and avoid stockouts or excess inventory.
• Negotiating pricing, discounts, and payment terms with suppliers to achieve cost savings and favorable terms for the organization.
• Reviewing purchase requisitions submitted by various departments to ensure accuracy, completeness, and compliance with procurement policies.
• Maintaining accurate records of purchase orders, contracts, agreements, and correspondence with vendors. Ensuring documentation is properly filed and easily accessible for auditing purposes.
• Monitoring vendor performance and adherence to contract terms. Addressing any issues or concerns regarding quality, delivery, or service levels with vendors and escalating unresolved issues to procurement managers.
• Monitoring the progress of purchase orders and expediting delivery when necessary to meet urgent requirements or address delays.
• Verifying the accuracy of supplier invoices against purchase orders and receiving documents. Processing invoices for payment and resolving discrepancies in a timely manner.
• Analyzing purchasing data to identify cost-saving opportunities, track spending trends, and make recommendations for process improvements.
