- Establish and maintain strong relationships with reliable suppliers and vendors. This includes negotiating contracts, terms of delivery, and payment to ensure favorable conditions for the villa.
- Procure all necessary goods and services required for the villa’s operations, including but not limited to food and beverage supplies, kitchen equipment, cleaning materials, guest amenities, and maintenance tools. Ensure that purchases comply with the villa’s quality standards and sustainability practices.
- Keep track of inventory levels, anticipate needs based on occupancy rates or seasonality, and reorder supplies in a timely manner to prevent shortages or excesses.
- Work within the allocated budget to manage costs effectively. This includes seeking out the best prices, negotiating discounts, and making cost-effective procurement decisions without compromising on quality.
- Conduct regular market research to identify new suppliers, compare prices, and stay informed about trends and innovations in products and services that could enhance the guest experience or improve operational efficiency.
- Maintain accurate records of all purchases, receipts, invoices, and supplier agreements. Ensure all procurement activities are documented in compliance with financial and audit requirements.
- Work closely with other departments, such as the kitchen, housekeeping, and maintenance, to understand their supply needs and preferences. Communicate effectively with management about purchasing decisions, budget concerns, and supplier issues.
Qualifications:
- A degree in business, supply chain management, hospitality, or a related field is advantageous.
- Previous experience in purchasing, particularly within the hospitality industry, is highly beneficial. Experience in villa or hotel management adds valuable context.
- Strong negotiation skills to secure the best terms and prices from suppliers.
- Excellent organizational and time-management skills to handle multiple procurement tasks efficiently.
- Keen attention to detail when evaluating supplies, managing inventory, and maintaining records.
