Some of your duties will include:
- Conform to and continuously improve the standard, specification, and document control procedures
- Manage and maintain all controlled company documents. Oversee document through its entire lifecycle (inception to archival)
- Perform document identification, classification, numbering, and filing
- Manage administration and deployment of the Policy/Standard/ Procedure/STP/Form Document in Document Control site
- Manage and follow the defined Document review cycle, ensuring conformance with the document’s Review Period.
- Create and maintain master document templates and forms
- Using an electronic document management system (EDMS) such as Sharepoint, to index, store and retrieve a wide variety of document types
- Ensure the integrity and security of the document and the system to prevent from unauthorized modification, tampering or lost.
- Responsible for operating a systematic filing system and ensure ease in retrieving and tracking of documents.Reviewing documents, checking according to the checklist to ensure compliant with regulations, creating revisions and archiving outdated versions
- Ensure new and revised documents are accessible, notify and distribute documents to the relevant people, departments, or organisations, and letting them know when they need to take action on a document as part of a process
- Conduct document audit to confirm they are current and accurately reflect recorded evidence
- Making sure that departments are following the correct procedures in the document flow process
- Ensure the approval for new or updated document
- Contribute to report generation of document control periodic reports.Participate and contribute to internal and external audits, and follow-up to resolve findings accordingly.
What skills and experience do you need?
- Tertiary degree (diploma degree) from reputable university
- Two (2) years of administrative or clerical work involving one or more of the followings: data entry, document submission, document filing, electronic reservation
- Understand the concept of document control
- Good in Business English verbally and in written
- Good computer literacy
- Intermediate skill in Microsoft Word
- Exposure to electronic document filing
- Well organized, attention to detail, truthful, honest, and ethical behaviour
- Good interpersonal skill
