We are seeking a skilled and compassionate individual to join our team as a Front Desk Duty Manager, contributing to the seamless operations and exceptional service at the heart of our animal care facility.
Responsibilities:
- Client Services: Oversee the front desk operations, ensuring a warm and welcoming environment for pet owners and their animals. Provide exceptional client service, addressing inquiries, scheduling appointments, and managing patient records.
- Team Leadership: Lead and inspire a team of front desk staff, fostering a positive and collaborative work environment. Provide training, guidance, and support to ensure the highest standards of client service.
- Appointment Management: Coordinate and manage appointment scheduling, ensuring efficient use of veterinary resources and maintaining timely communication with clients regarding appointments and procedures.
- Patient Records: Maintain accurate and up-to-date patient records, including medical histories, treatment plans, and billing information. Ensure compliance with privacy regulations and ethical standards.
- Problem Resolution: Address and resolve client concerns and inquiries with empathy and professionalism. Collaborate with veterinary team to ensure a positive resolution and client satisfaction.
- Operational Efficiency: Implement and enforce standard operating procedures to optimize efficiency in front desk operations. Collaborate with other departments to streamline processes and improve overall hospital workflow.
- Community Engagement: Act as a liaison between the animal hospital and the community, participating in outreach programs, educational initiatives, and events to promote the hospital's services and values.
- Proven experience in a team leader/supervisor role, preferably within hospitality company setting.
- Strong communication and interpersonal skills, with a passion for delivering excellent Customer Service.
- Knowledge of veterinary terminology, procedures, and common pet health concerns.
- Familiarity with veterinary practice management software and scheduling systems.
- Compassion for animals and a commitment to upholding high standards of care.
- Ability to handle sensitive situations with empathy and professionalism.
- Flexibility to work in a dynamic and sometimes emotional environment, including weekends and holidays.
