The Event Manager is responsible for selling and servicing catering events as well as planning and servicing sales groups. Primary sales efforts are in Banquet (Event) Food and Beverage and includes menu planning, agenda setting and hotel meeting services. Must be effective at selling, both proactively and reactively, the services of the hotel to gain commitment from the client and work well with all departments in the hotel to ensure that services are delivered as communicated to the client. Responsibilities also include contract review and facilitating communication before, during and post-event with pertinent hotel staff to include obtaining and detailing all food, beverage, set-up and A/V needs, managing room blocks and pick up, billing instructions and final review to ensure a high level of service. The Event Manager is the on-site contact and is responsible for the smooth execution of groups and events. High quality of selling, planning, implementation, and executing is required.
The Event Manager will also host hotel tours for our Remote Sales Manager(s), maintain strong customer relationships and is a liaison between the hotel and the Event Clients. They are critical to cross-departmental communication and ensuring events are executed with the highest of guest satisfaction. The Event Manager is a leader in the department, participating in and supporting initiatives within the Sales and Event team. The manager also works closely with an assigned Coordinator and other support staff.
Requirements
- Respond to incoming event opportunities including e-mails, walk-ins and phone calls
- Build and strengthen relationships with existing and new customers to enable future bookings.
- Execute contracts and BEO’s and ensure timeliness of final payments and deposits
- Serve the customer by understanding their needs and recommending the appropriate features and services that best meet their needs and exceed their expectations.
- Work directly with clients, gathering necessary information for menu planning, floor plans, room set-up, timeliness, rental orders, décor, cost, and billing details and any other requirements pertinent to their event in a timely manner and assist with those items as necessary.
- Interact effectively with all departments within the hotel to ensure guest satisfaction and a positive work environment
- Onsite to service all events and in-house groups and be available weekends/ holidays.
