- Scheduling the executive appointments, maintaining an events calendar and sending reminders.
- Maintained and organize Director’s calendar for appointments, meeting and travels.
- Drafting business letters and keep accurate records.
- Managed and arranged expenses report, for a reimbursement payment, such as entertaining the Director's client, paying the Director's medical bills, and making a cash advance.
- Supervised and produced material for the business's social media pages, including Instagram stories and feeds.
- Arranged and managed office activities such as the company’s anniversary event, Director’s Birthday surprises, Management meetings, The company's event is related to gathering all employees, etc.
- Organize meeting with C-Level member or other external parties.
- Handle all incoming and outgoing correspondence (e-mails, letters, packages).
- Maintain executive documents and ensure information is well organized and can be accessed whenever needed.
- Answer phone calls, take notes/message.
- Maintain good relationship with the executive and clients.
Minimum Qualifications:
- Minimum 3-4 years of proven work experience as a secretary or personal assistant.
- Experience in managed company social media such as content reels, feed Instagram and company events.
- Proficient in Microsoft Office.
- Able to communicate in English (Spoken & Written).
- Having great communication and proactive attitude.
- Excellent in administrative, teamwork and time management.
