Job Desc
To assist the COO with his daily personal matters and business operations such as:
- Dealing with correspondence; letters, memos, translation, minutes of meetings, and reports; as well as receiving incoming calls and making calls for the COO.
- Organize the COO’s incoming and outgoing emails/documents as a priority.
- Ensure all important pending approval of the President Director & COO get done in time and immediately pass the message to the COO.
- Managing databases and filing systems.
- Arranging business & family trips such as accommodation and transportation for the COO, family, and visitors;
- Ensure all the needs of the COO are available and appropriate (AC, stationery, drinks, lunch, etc.) and maintain the cleanliness of the COO & secretary's room.
- Carry out procedures of guest welcoming and preparing the meeting with external parties;
- Another task assigned by the COO
Competence
- Proven work experience as a Personal Assistant
- Outstanding organizational and time management skills
- Ability to multitask and prioritize daily workload
- Excellent verbal and written communication skills both in Bahasa & English
- Discretion and confidentiality
- Accuracy and attention to detail
- Up-to-date with the latest office gadgets and applications
- Knowledge of office management systems and procedures
