Uraian Tugas

KEM Secretariat is currently seeking a Human Resource & General Affair (HRGA) Officer to manage Human Resource and general office affairs to support the operational activities of KEM Secretariat, ensuring compliance with existing procedures and applicable regulations. Outside the Human Resource and general office affairs duties, s/he will have the opportunity of working alongside the KEM executive team in developing the institution policies and procedures.

Responsibilities

  • Carry out recruitment selection and administrative activities according to the organization's needs and policies.
  • Manage the organization’s HR database to ensure that all recruitment processes and employee-related information are handled and processed accurately.
  • Organize staff performance assessments and coordinate with relevant teams to conduct performance assessments.
  • Handle and coordinate with the direct supervisor related to payroll and benefit-related tasks.
  • Manage staff leaves and ensure proper documentation.
  • Ensure the organization's compliance with all labor laws and general regulations.
  • Ensure the proper implementation of the organization’s SOP.
  • Maintain calendar meetings, ensuring regular updates and meetings are executed according to agreed timelines.
  • Carry out procurement of goods and services functions, including providing recommendations for vendors; create and maintain purchase records; create list and maintain vendor data; and maintain good relations with vendors.
  • Coordinate and arrange official business trips, including tickets, accommodation, and transportation.
  • Manage organizational correspondence, including issuing letters as needed by the organization or upon staff requests.
  • Manage organizational assets and asset inventory data.
  • Manage workplace facilities and ensure a safe and comfortable working environment.
  • Checking all the required documents for the banking process and aligning them with the existing finance Standard Operating Procedures (SOP).
  • Thoroughly monitoring advance (Travel, project, cash advance) process, involves overseeing the
  • user requests, reviewing these requests, ensuring smooth processing, and ultimately managing the settlement or completion of each request.
  • Manage and ensure organizational compliance, including but not limited to licensing, decision-making process, and organizational procedures, in accordance with prevailing policy and regulatory framework in Indonesia.

Meminta

  • Bachelor’s Degree in relevant studies with two years of experience in a similar role.

  • Familiarity with project management tools and strategy to ensure effective
    management.

  • Willing to learn about the sustainable development context.

  • Proven ability to deliver high-quality outputs on time.

  • Excellent communication skills in Bahasa Indonesia and English

  • Well-developed interpersonal skills.

  • Self-motivated and able to work with minimum supervision.

  • Excellent database and archiving skills.
