**Job Description:**
๐ We are seeking a multifaceted Personal Assistant to support our Director, encompassing a broad range of responsibilities including secretarial, operational, and government relations and compliance duties. This role is crucial for maintaining smooth operations within our production kitchen and ensuring compliance with regulatory requirements.
**Key Responsibilities:**
- **Secretarial/Administration ๐๏ธ**: Manage director's schedule, handle correspondence, organize files, coordinate meetings, and prepare minutes.
- **Operational Support ๐ญ**: Assist in the company's daily activities and long-term projects, ensuring efficient operations.
- **Purchasing and Procurement ๐**: Oversee purchasing of food supplies, negotiate prices for equipment, supplies, and stock necessary for the production kitchen.
- **Government Relations ๐๏ธ**: Handle interactions with various government agencies, including BPJS (social security), Tax Office, and BPOM (Food and Drug Monitoring Agency). Ensure compliance with legal and regulatory requirements, process documentation, and maintain good relations.
- **Compliance and Auditing ๐**: Ensure compliance with all financial regulations, authorities, Tax authority, Coordinate and lead regular audits, both internal and external.
- **Financial Supervision ๐**: Oversee and audit financial operations and reporting to the Director. Ensure financial practices are in line with statutory regulations and internal policies.
- **Personal Assistant Duties ๐ค**: Provide comprehensive support to the Director, including personal scheduling, travel arrangements, and handling ad-hoc tasks as required.
**Qualifications:**
- Proven experience in a similar role, ideally within the food or health industry.
- Strong organizational and time-management skills.
- Excellent communication abilities with proficiency in English.
- Knowledge in accounting software and MS Office.
- Understanding of government liaison work and regulatory compliance.
- Demonstrated honesty, integrity, and a strong work ethic.
- Ability to adapt and take on varied responsibilities in a fast-paced environment.
