As a Personal Assistant to the Head of Online & Offline Sales in the luxury retail industry, your role is crucial in providing seamless administrative support, leveraging your understanding of the luxury market. You will be the right-hand person to the Head of Sales, managing details with precision, analyzing data, and ensuring the timely execution of critical tasks. Job Description
- Assist Head of Sales in daily working.
- Manage administrative schedule, making appointments, task-reminder, prepare supporting documents, data management and filing, provide general assistance, and support any task that Head of Sales needs.
- Efficiently manage the executive’s calendar, scheduling and prioritizing tasks related to GPM analysis, inventory valuation, and other deadlines.
- Handle communications with a high level of professionalism and understanding of industry nuances.
- Utilize strong analytical instincts to analyze sales data, GPM trends, and inventory values.
- Provide insights and recommendations based on data analysis to support strategic decision-making.
- Follow up on critical deadlines, including GPM analysis, inventory valuation, monthly reporting, commission reports, and event-related tasks.
- Compile post-event reports, highlighting key metrics and areas for improvement.
- Prepare detailed and accurate monthly reports, commission reports, and other relevant documents.
- Liaising with clients, suppliers, and other staff (follow up deadline schedule cross-division, follow up pending list request with clients/vendors/partners).
- Prepare documents including correspondence, reports, drafts, memos and emails.
- Handle sensitive information with the utmost confidentiality and discretion.
Requirements:
- Bachelor's degree in Business Administration, Marketing, or a related field.
- Proven experience as an executive or Personal Assistant in the luxury retail industry.
- Minimum 1 years experiences as Personal Assistant to Executive Level, or relevant experience (preferably in e-commerce industry)
- In-depth understanding of the luxury retail market, trends, and customer expectations.
- Strong instinct & ensuring accuracy in data analysis and reporting.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proactive approach to problem-solving and task execution.
- Collaborative mindset with the ability to work effectively in a team.
- Maintain a high level of professionalism, understanding the demands of the luxury retail environment.
